Some days I’d wake up and it felt like the whole world was on top of me. I didn’t know where to begin—should I finish my website? Reply to that client? Finally register for the marketing event I’ve been avoiding (and do I even have time for that)? Everything felt urgent. Like it should’ve been done yesterday.
Ironically, it wasn’t until after I had my son Harry that I really learned how to prioritise like a boss. These days, I actually do less—but I focus on what truly matters. I’ve built a way of working that helps me stay productive without running myself into the ground.
So, if you ever find yourself drowning in to-dos and unsure where to start, I’m sharing how I structure my week. It’s simple, clear, and it works—even with a 16-month-old and just a few solid hours a day.
Here’s to clear priorities, strong communication, and leading with impact—no matter how full your life is.
Clients Always Come First
This is one of my mantras, and it’s a key reason why my business is built on trust and loyalty. Think about it—your clients have already said yes to you. They’ve invested their time, money, and belief in your work. That alone deserves your full presence and commitment.
How you show up after someone has paid says a lot about who you are and what your business stands for. This is where trust is either built or broken. When clients feel taken care of, supported, and seen beyond the invoice, they’re far more likely to come back, refer friends and family, and become your biggest advocates.
Clients are your best marketers—but only if you serve them well. If your focus is constantly on new leads, you’ll be forever chasing. Prioritising the people already in your world is the most sustainable way to grow a business rooted in integrity.
At the start of my week, I always ask: What do I need to prepare for my clients? Do I need to read notes from our last session? Create a session plan? Did I promise them something I need to follow up on—like a PDF, a book recommendation, or even something totally unrelated but meaningful to them?
I also check in on relationships. Is there a client who’s ill, injured, or going through a rough patch? Is there someone I need to check in with, not because I have to, but because I want to?
This level of care and follow-through isn’t just about being a ‘nice coach’—it’s about building credibility and trust. Successful business owners don’t just talk about consistency; they live it—especially when no one’s watching.
My Weekly Structure: Fast Burn vs. Slow Burn
When I reflected back on the structure I created, I realised I had two categories: “Fast Burn” and “Slow Burn”. Some of my actions need consistency and take time to grow and nurture. Other actions make an immediate impact. Both are essential for a healthy business rhythm.
🔥 Fast Burn: High-Impact Actions
These are the things that can lead to immediate income, visibility, or opportunities. I ask:
- Who could I follow up with today?
- Who might benefit from an offer or invitation?
- Who do I already know that could refer someone to me?
This might look like reconnecting with a past client, following up on a previous conversation, or even reaching out to someone who showed interest in my work but didn’t take the leap yet. It might also mean saying yes to a networking event and making meaningful 1:1 connections.
This isn’t about hard selling—it’s about genuine relationships, service, and staying top of mind.
🔥 Slow Burn: Long-Term Value
These are the things I commit to every week to stay visible, build trust, and deliver consistent value:
- Writing blogs, newsletters, or recording podcast episodes
- Showing up on social media with stories, posts, and insights
This is how I connect with people before they even work with me. It’s the kind of communication that builds familiarity and trust over time.
To make sure both types of action get done, I assign them to specific days of the week. Here’s a glimpse into how I structure mine:
- Monday – Deliver value to existing clients
- Tuesday – Create opportunities (Fast Burn)
- Wednesday – Client work and check-ins
- Thursday – Social media content
- Friday – Blog and newsletter
This rhythm keeps me focused without being rigid. It gives me the flexibility I need with the structure that helps me stay consistent.
Communicate Your Intentions to Yourself
One of the most powerful things I’ve learned is that communication doesn’t start with other people—it starts with you.
When I plan my week, I’m not just ticking off boxes. I’m declaring what matters. I’m telling myself: this is what’s most important. That clarity stops the constant switching between tasks. It stops the procrastination. It stops the overwhelm.
If I find myself stuck, I ask:
- What’s the real priority right now?
- What would make the biggest difference today?
- What am I avoiding?
- What would ‘future me’ be so glad I did first?
It doesn’t have to be perfect. But if I choose just one Fast Burn and one Slow Burn priority at the start of the week, I feel anchored. Grounded. Focused.
Prioritise With Intention, Communicate With Impact
You don’t need to be busy to make an impact. You need to be clear.
When your actions align with your priorities, everything becomes more grounded and intentional. You’re not just being productive for the sake of it—you’re making space to show up powerfully, consistently, and with heart.
And that matters to your clients. When you’re focused and intentional, your clients feel it. They trust you more. They stay longer. They refer people. You don’t have to push so hard to attract the next person—because your current clients become your best marketing tool.
So here’s a simple reflection to end on: What’s one small change you could make this week to run your business (and your time) with more intention?
